Position Title: Administrative Officer
Duty Station: Cascais, Portugal
Type of Appointment: Fixed-term renewable contract

The European Public Law Organization (EPLO) is recruiting an Administrative Officer for its Regional Branch in Cascais, Portugal.

Tasks and Responsibilities

Under the supervision of the Director of the EPLO Regional Branch in Cascais, the Administrative Officer will be responsible for:

•    Assisting the Director in the overall administration and daily operation of the Branch.
•    Performing general administrative and secretarial duties.
•    Managing the Director’s schedule, appointments and official correspondence.
•    Organizing meetings, conferences, events, official visits and other activities of the Branch.
•    Preparing correspondence, invitations, agendas, minutes, briefing notes and other administrative documents.
•    Receiving visitors and providing administrative and logistical support to official delegations, guests and external partners.
•    Maintaining the Branch’s physical and electronic filing systems, records, documents and archives.
•    Managing incoming and outgoing correspondence, telephone calls and general enquiries.
•    Liaising, as required, with public authorities, diplomatic missions, international organizations, universities, service providers and other external partners.
•    Arranging official travel, transportation and accommodation for staff members, officials and guests.
•    Monitoring office supplies, equipment and services and coordinating with the relevant suppliers and service providers.
•    Supporting routine procurement and administrative procedures in accordance with EPLO’s applicable rules and instructions.
•    Maintaining basic records and supporting documentation relating to the Branch’s bank account and approved transactions, in coordination with the competent EPLO services.
•    Driving the official EPLO vehicle when required and monitoring its maintenance, insurance and related documentation.
•    Performing any other administrative duties in connection with the effective operation of the Branch.

Required Qualifications
•    A university degree from an accredited academic institution in Law, Political Science, Social Sciences, Management, Public Administration, International Relations or another related field.
•    A Master’s degree in any of the above fields will be considered an asset.
•    Fluency in written and spoken English.
•    Knowledge of Portuguese will be considered an asset.
•    At least five years of relevant professional experience in administration, office management or a comparable position.
•    Excellent written and oral communication skills in English.
•    Computer proficiency in standard office software applications, including Microsoft Office.
•    Excellent organizational and time-management skills.
•    Ability to draft official correspondence and administrative documents accurately and professionally.
•    Strong attention to detail and a high degree of thoroughness, discretion, reliability and consistency.
•    Ability to manage multiple tasks and work effectively under deadlines.
•    Ability to work independently and as part of a diverse and multicultural team.
•    Experience in an international organization, diplomatic mission, public authority or multicultural working environment will be considered an asset.
•    A valid driving license.

The Administrative Officer will be a staff member of the EPLO and will therefore have the status of an international civil servant.
